TERMS & POLICIES
Thank you for choosing to travel with us. These policies are designed to ensure the safety, comfort, and fair treatment of every participant, while also protecting the integrity of our operations. By registering for any expedition or trip with us, you acknowledge that you have read, understood, and agreed to all the policies outlined in this document.
1. Booking & Payment Policy
All bookings are confirmed only after receipt of the deposit (50%) or full amount of the trip.
• Balance Payment: Any remaining trip cost must be paid in full at least 21 days before the trip departure date, unless otherwise specified.
• Payment Methods: We accept bank transfers, Apple Pay, and online CYM website payment modes. Kindly share a screenshot of the transaction once the payment is made.
• Late Payments: Failure to complete the balance payment by the due date may result in automatic cancellation of your booking, with cancellation charges applicable as per our Cancellation Policy.
• Pricing: All prices are quoted in USD unless otherwise stated. Prices are subject to change in case of unforeseen cost escalations (fuel, permits, taxes), and participants will be informed in advance.
2. Cancellation Policy
We understand that plans can change. The following cancellation terms apply to all bookings:
If You Cancel
• 60 days or more before the trip: 90% of the registration amount will be refunded (10% processing charges will be deducted).
• Between 45 and 30 days before the trip: 50% of the registration amount will be refunded.
• Within 30 days before the trip: No refund will be issued. The full registration amount will be retained.
• No-show on departure day: No refund will be issued, and no claims will be entertained.
How to Cancel
All cancellation requests must be submitted in writing (via email or WhatsApp message to our official contact. Verbal cancellation requests will not be considered valid. The date of cancellation will be calculated based on the date the request is received.
Refund Processing
• Approved refunds will be processed within 10 to 15 working days from the date of cancellation approval.
• Refunds will be issued through the original payment method, wherever possible.
• Bank charges, payment gateway fees, or currency conversion fees, if any, will be deducted from the refund amount.
If We Cancel the Trip
In rare cases, we may be forced to cancel a trip due to reasons beyond our control (insufficient group size, adverse weather, natural disasters, political unrest, pandemics, or government restrictions).
• You will be offered a full refund of the trip amount paid, OR
• The option to reschedule to an alternative date or trip of equivalent value, OR
• A trip voucher valid for 12 months.
Please note: We will not be liable for any additional costs incurred by participants (flights, hotels, visas, etc.). We strongly recommend purchasing travel insurance.
3. Booking Transfer Policy
If you are unable to attend a trip, you may transfer your booking to another person, subject to the following conditions:
• The request must be made in writing (email or message) at least 15 days before the trip departure.
• The replacement participant must meet all fitness, health, and eligibility criteria for the trip.
• Transfers are not allowed within 15 days of the trip departure.
4. Health & Fitness Policy
Our trips often involve physically demanding activities, remote terrain, and varying altitudes. Participants must ensure they are physically and mentally prepared.
• Medical Disclosure: All participants must disclose any pre-existing medical conditions (heart issues, asthma, diabetes, epilepsy, pregnancy, recent surgeries, etc.) at the time of booking.
• Fitness Requirements: Participants are expected to meet the minimum fitness level stated for each trip. We recommend beginning a fitness regimen at least 4 to 6 weeks before departure.
• Medical Certificate: A certificate of fitness from a registered medical practitioner may be required for high-altitude treks or strenuous expeditions.
• Right to Refuse: We reserve the right to refuse participation or to remove a participant mid-trip if we determine that their health or fitness poses a risk to themselves or the group. No refund will be issued in such cases.
5. Risk Acknowledgement & Liability
Adventure travel inherently involves risks that cannot be fully eliminated. By participating, you acknowledge and accept these risks.
• Inherent Risks: These may include (but are not limited to) altitude sickness, injuries, falls, exposure to weather, wildlife encounters, road accidents, and illness.
• Liability Waiver: All participants are required to sign a waiver/disclaimer form before the trip begins. Participation is not permitted without a signed form.
• Our Responsibility: We take every reasonable precaution to ensure participant safety, including qualified guides, safety equipment, and emergency protocols. However, we cannot be held liable for injuries, losses, or damages arising from the inherent risks of adventure activities, or from participant negligence.
• Personal Belongings: We are not responsible for loss, theft, or damage of personal belongings during the trip.
6. Insurance Policy
• Travel Insurance: All participants are strongly advised (and for certain high-altitude or international expeditions, required) to have comprehensive travel insurance covering medical emergencies, evacuation, trip cancellation, and loss of personal belongings.
• Our Coverage: Unless specifically mentioned in the trip inclusions, the trip cost does not include personal travel or medical insurance.
• Proof of Insurance: A copy of your insurance policy may be requested prior to departure, particularly for high-altitude and remote-area expeditions.
7. Safety & Emergency Protocol
• Guide Authority: Our trip leaders and guides have full authority to make decisions regarding route changes, cancellations, or participant removal in the interest of safety. Their decisions are final.
• Evacuation: In case of medical emergencies in remote areas, evacuation (by porter, helicopter, or vehicle) will be arranged. All evacuation costs are the responsibility of the participant and should be covered by travel insurance.
• Communication: Emergency contact details will be shared before the trip. Participants are required to provide accurate next-of-kin information at the time of registration.
• First Aid: Our guides carry general first-aid kits. Participants with specific medical needs must carry their own medication.
8. Weather & Force Majeure Policy
We operate in natural environments where weather and external conditions can be unpredictable.
• Weather Disruptions : Trips may be delayed, rerouted, shortened, or cancelled due to adverse weather. We will do our best to find alternatives, but no refunds will be issued for weather-related disruptions that occur after the trip has commenced.
• Force Majeure: We are not liable for delays, cancellations, or changes caused by events beyond our control, including but not limited to natural disasters, pandemics, strikes, political unrest, government restrictions, road closures, or acts of war
• Compensation: In such events, any refund or adjustment will be at our sole discretion, based on the costs we have already incurred on your behalf.
9. Itinerary Change Policy
We reserve the right to modify trip itineraries when necessary. Changes may include rerouting, alternative accommodations, adjusted activity schedules, or early termination.
• Changes made for reasons of safety, weather, or logistics are at our sole discretion.
• We will endeavour to maintain the spirit and key highlights of the original itinerary.
• No refunds or compensation will be provided for such changes, provided they are made in good faith.
10. Minimum Group Size Policy
Certain trips require a minimum number of participants to operate. If the minimum is not met:
• You will be notified at least 15 days before the trip departure.
• You will be offered a full refund, a reschedule to another date, or the option to proceed at a higher cost (applicable for smaller groups).
11. Code of Conduct
We expect all participants to conduct themselves in a manner that respects fellow traveller, guides, local communities, and the environment.
• Respect the guidance and instructions of trip leaders at all times.
• Respect local cultures, customs, dress codes, and religious practices.
• No use of illegal substances or alcohol during the trek.
• Harassment, discrimination, or unsafe behaviours will not be tolerated.
• Violation Consequences: We reserve the right to remove any participant from a trip for misconduct. No refund will be issued, and the participant will bear all costs related to their return journey.
12. Environmental & Leave No Trace Policy
We are committed to responsible tourism. All participants are expected to:
• Carry back all non-biodegradable waste (plastics, wrappers, batteries).
• Avoid single-use plastics wherever possible.
• Not disturb wildlife, pluck plants, or damage natural features.
• Respect local rules regarding camping, fires, and waste disposal.
• Minimize noise pollution in natural and cultural settings.
13. Equipment Policy
• Provided Equipment: Specific equipment (tents, sleeping bags, technical gear) provided as part of the trip will be listed in the trip inclusions.
• Rental Equipment: Additional equipment may be rented at an extra cost, subject to availability.
• Damage or Loss: Participants will be charged for any damage or loss of company-provided equipment beyond normal wear and tear.
• Personal Gear: Participants are responsible for bringing personal items as per the packing list shared prior to the trip.
14. Photography & Media Consent
During the trip, photographs and videos may be taken for promotional and documentation purposes.
• By participating, you consent to the use of such photographs and videos on our website, social media, and marketing materials.
• If you do not wish to be featured, please inform us before the trip begins.
15. Privacy Policy
We collect personal information (name, contact details, medical information, ID proofs) solely for the purpose of trip planning, safety, and statutory requirements.
• Your information will not be shared with third parties, except as required for the trip (permits, hotels, insurance, local authorities) or as required by law.
• All data is stored securely and retained only for as long as necessary.
16. Age & Solo Traveller Policy
• Minimum Age: The minimum age for participation varies by trip and will be specified in the trip details.
• Minors: Participants under 18 must be accompanied by a parent or legal guardian, or submit a signed consent form.
• Solo Travellers: Solo participants are welcome. A single supplement may apply if you request a private room; otherwise, accommodations will be shared on a same-gender basis.
17. Acceptance of Policies
By registering for any trip with us, you confirm that:
• You have read, understood, and agreed to all the above policies.
• The information you have provided is true and complete.
• You are participating in the trip voluntarily and at your own risk.
• You accept that the trip leaders’ decisions regarding safety, itinerary, and participant behaviours are final and binding.
